LEV Systems ApS ("LEV", "we", "us") is a company registered in Denmark under CVR 46070070. We build and operate automated business systems for our clients. This policy explains what data we collect, how we use it, and your rights.

1. Data We Collect

We collect the following categories of personal data in the course of delivering our services:

• Lead information — names, email addresses, phone numbers, and business details submitted through client websites, chatbots, or phone interactions.
• Call recordings — audio recordings of calls handled by our AI phone agents, used for service delivery and quality assurance.
• Chat logs — transcripts of conversations with our website chatbots and messaging integrations.
• Website analytics — anonymised browsing data such as pages visited, referral source, device type, and IP address (collected via standard analytics tools).
• Client account data — contact details, billing information, and correspondence with our team.

2. How We Use Your Data

• Service delivery — to operate AI phone agents, chatbots, and follow-up engines on behalf of our clients.
• Service improvement — to monitor performance, improve response quality, and develop new features.
• Billing and administration — to process payments, manage subscriptions, and communicate with clients.
• Legal compliance — to meet our obligations under applicable law.

3. Third-Party Processors

We use trusted third-party services to deliver parts of our platform. These processors handle data strictly on our behalf and under contractual safeguards:

• ElevenLabs — AI voice synthesis for phone agents.
• Twilio — telephony infrastructure for calls and SMS.
• Cal.com — appointment scheduling and calendar management.
• Stripe — payment processing and subscription billing.
• Google Analytics / Plausible — website usage analytics.
• Cloud hosting providers — infrastructure and data storage.

We do not sell personal data to third parties.

4. Data Retention

We retain personal data only as long as necessary for the purposes described above. In general:

• Lead data and call recordings are retained for the duration of the client relationship plus 90 days, unless the client requests earlier deletion.
• Billing records are retained as required by Danish accounting law (currently 5 years).
• Website analytics data is retained in anonymised form and is not linked to identifiable individuals.

5. Your Rights (GDPR)

As a Danish company, LEV Systems complies with the General Data Protection Regulation (GDPR). If you are a data subject, you have the right to:

• Access — request a copy of the personal data we hold about you.
• Rectification — ask us to correct inaccurate data.
• Erasure — ask us to delete your personal data, subject to legal retention requirements.
• Restriction — ask us to limit how we process your data.
• Portability — receive your data in a structured, machine-readable format.
• Objection — object to processing based on legitimate interests.

You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet).

6. Data Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. These include encryption in transit, access controls, and regular security reviews.

7. International Transfers

Some of our third-party processors operate outside the European Economic Area. Where this is the case, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions.
